HSA Ledger’s page for Tomas Varga at the fictional Maplebrook Dental Professional Corporation: on the chosen date he is the spouse of Elena Varga, a relationship recorded from June 2012 and still ongoing, with forms to record employment, family and ownership separately.

The records a plan depends on.

Who is employed, who owns shares, who is family, and who is covered.

Each is its own record, with its own dates. One person can be an employee, a shareholder and a spouse at once, and none of those implies another.

HSA Ledger’s relationship history for Marcus Oyelaran at the fictional Maplebrook Dental Professional Corporation: office manager from January 2018, changed to practice manager from April 2024, with the superseded version kept.
  1. Every version of a relationship, with its dates
  • People, not job titles

Employment, ownership and family relationships are recorded separately, so adding a spouse never creates an employee, and hiring someone never creates coverage.

  • Dated, never overwritten

Every relationship carries the dates it applies. Ending one keeps its history, and the state on any past date can be looked up exactly.

  • An audit ledger

Sensitive changes are recorded in an append-only ledger: who changed what, when, and with what result.

  • Your corporation only

Every record belongs to one corporation, and access comes only from membership. Isolation between corporations is tested on every change.

Careful where the rules need judgment.

Some questions, such as benefits for owner-employees and their families, depend on facts a program cannot weigh. HSA Ledger flags them for professional review instead of deciding. It says when it found no issues; it never claims CRA approval.

What comes next.

  • Plans with versions

Plan terms that are fixed once active; amending a plan creates a new version.

  • Claims and receipts

Claims checked against the plan in effect on the date of service, with receipts kept securely.

  • Reimbursements

Each reimbursement with a stable reference for matching in your books.

  • For your accountant

An accountant export first, then direct connections to accounting software.

The fine print.
